The controller of your personal data is Sondie Oy (“we”, “us”), offering the ColdBooked managed lead generation service. For privacy-related requests, use the Contact button in the website footer or reply to any email you have received from us.

2. What data we collect

Depending on how you interact with us, we may process:

• Eligibility and contact forms: name, work email, phone number, company, and the business details you choose to submit.
• Client portal: account email and data needed to deliver the service and show campaign statistics.
• Technical data: standard server and analytics information such as IP address (for security and rate limiting), browser type, and timestamps.

3. Why we use your data

We process personal data to respond to enquiries, evaluate eligibility for our services, onboard and serve clients, send operational emails (including via email providers such as Resend), protect our systems from abuse, and comply with legal obligations. Where required by EU law, we rely on contract, legitimate interest, and/ or consent as appropriate to the processing.

4. Retention

We keep form submissions and client records only as long as needed for the purposes above, including any statutory bookkeeping or dispute periods. When data is no longer required, we delete or anonymise it.

5. Processors and transfers

We use trusted service providers (for example email delivery and hosting) who process data on our instructions. Some providers may be located outside the EU; in those cases we use appropriate safeguards such as Standard Contractual Clauses where required.

6. Your rights

Under the EU General Data Protection Regulation (GDPR), you may have the right to access, rectify, erase, restrict, or object to certain processing, and to data portability where applicable. You may also lodge a complaint with a supervisory authority (in Finland, the Office of the Data Protection Ombudsman).

7. Changes

We may update this policy from time to time. The “Last updated” date at the top will change when we do; continued use of the site after changes constitutes acceptance of the updated policy where permitted by law.
